Loading access, door widths, lifts and setup windows affect the equipment and staffing needed. We discuss those conditions before the final scope is settled. The room plan should allow activity space, seating and clear routes, with the venue’s safety requirements respected.
We also agree a lead contact and a practical decision process. If a speaker runs late, the weather changes or a supplier needs access, the relevant people should know who can approve a change and how the rest of the programme is affected.
For branding and printed materials, you supply approved content you are entitled to use. We agree the production scope and approval date. For a mystery or team activity, we establish what guests need to know in advance and whether that information can be shared without a detailed personal guest list.
