An awards evening needs a clear presentation sequence; a client thank-you may benefit from an easier pace and more room for conversation.

Copper Meeple plans themed corporate occasions for up to 50 guests, with programmes of up to eight hours. We work from your audience, venue and priorities to shape the event concept, visual setting and running order. Choose the story for the room

For corporate awards evenings, a red-carpet premiere theme can use gold accents, a branded photo backdrop and focused stage lighting. We give arrivals and presentations their own place in the programme, with name pronunciation, award order and microphone handovers discussed before the event.

Company anniversaries can follow a journey through the years. Your supplied photographs and milestones become a timeline, while company-colour details connect the tables and welcome area. The emphasis is on a clear story from your own material, with time for recognition and conversation.

A charity fundraising gala can take a night-under-the-stars direction, with fairy lighting, silver centrepieces and displays explaining the cause. A masquerade ball can move towards velvet draping, ornate masks, decorative mirrors and gold table settings. Each treatment is scaled to the venue and budget rather than assuming an elaborate full-room installation.

Summer Christmas parties bring a Kiwi festive feel through coastal references, red florals and seasonal decorations. For client appreciation, native greenery, botanical backdrops and lounge seating create a more relaxed garden-gathering atmosphere. We can discuss an indoor version when the location or season calls for it.

Let the programme carry the occasion

An event should have a clear rhythm without feeling over-managed. We plan how guests arrive, where they gather and when the room needs to focus. A welcome can lead into a meal, a short presentation or a hosted quiz, with enough space between moments for people to settle and talk.

Awards and speeches need practical preparation. We ask for the running order, speaker contacts, presentation files and any access requirements in time to brief the people involved. The venue needs to know when to pause service; the person handling sound needs the microphone and playback cues.

The social part of the programme can include a casino-themed table session, a quiz or simply a well-paced reception. We agree the level of participation expected and how guests can step in and out. The overall guest count remains within 50, and the final schedule distinguishes guest-facing time from setup and removal.

Agree the roles and the inclusions

The proposal sets out the planning and coordination work, selected styling, equipment and staffing. It also identifies what comes from the venue or another supplier. This makes it easier to compare costs and keeps responsibility clear for seating, catering, sound, flowers, printed materials and the final clean-up.

Food, drinks, entertainment acts, a large stage or extensive audiovisual production are not assumed to be part of a basic styled celebration. If you want to include them, we discuss the brief and identify the additional costs before commitment. Supplier availability is confirmed for the event date rather than implied by the website imagery.

For a charity occasion, fundraising arrangements need their own clear plan. Any donations, auction or other fundraising activity must be separate from the themed table programme and appropriately reviewed by the organiser. Make it comfortable to attend

Guests notice whether the practical details have been considered. We discuss accessible arrival routes, seating, the volume and position of sound, dietary communication with the caterer and a place for quieter conversation. Tell us what your group needs without sending unnecessary medical or personal details through the initial enquiry.

Company material also needs care. Supply only logos, photographs and personal information you are entitled to use, and agree approvals before anything goes to print. Photography, filming and internal sharing should have a purpose and be communicated to guests.

To begin, share the occasion, city, likely date and guest count. If there is an internal approval process, a budget ceiling or a venue already booked, include that too. Can you work with our internal event organiser?

Yes. We agree a lead contact, decision points and the division of responsibilities. Your internal team can retain invitations, approvals and guest communication while the agreed themed programme and event details are coordinated with us.

Can we include awards and a hosted activity in one evening?

Yes. The programme should give each element enough time. A short recognition segment followed by dinner and a hosted activity can work well, provided the venue, sound and catering teams share the same running order.

What branding can be included?

Options can include a supplied-logo backdrop, company-colour styling, table details and milestone displays. The proposal identifies design or production work, printing quantities, artwork deadlines and approval responsibilities.

Does the celebration price include dinner?

No. Catering and drinks are separately agreed, as are venue hire and major production requirements. The starting celebration scope covers planning, coordination and a compact styling treatment.

Can you help with a conference or product launch?

How do you handle a corporate family fun day?
